Sender Reputation: How It Works and How to Improve It
The mechanics of sender reputation — IP vs domain reputation, the signals providers track, and how to rebuild a damaged one.
Every email you send is scored before it's delivered. That score is your sender reputation, and it's the single biggest factor in whether your mail lands in the inbox, the promotions tab, or the spam folder.
Two reputations follow your mail
Providers track you at two levels:
- IP reputation — the server address you send from. Shared IPs (like most ESPs) are affected by your neighbors; dedicated IPs are yours alone.
- Domain reputation — your sending domain (e.g., yourcompany.com). This is the more durable and important one, because it follows you even if you change IPs.
For cold outreach, your domain is what matters most. If your domain is burned, even a perfect IP won't save you.
What providers actually measure
- Spam complaints — the killer metric. Too many "report spam" clicks and your reputation tanks fast
- Bounces — hard bounces signal a dirty list
- Engagement — opens, replies, and inbox moves push you up
- Authentication — SPF/DKIM/DMARC failures cap your score
- Volume patterns — sudden spikes look automated and risky
How reputation gets damaged
In practice, it's almost always one of these:
- Sending a big blast from a brand-new account (no history + high volume = spammer)
- Emails to unverified addresses → bounces
- Generic blasts → spam reports
- Ignoring unsubscribes and continuing to send
How to rebuild a damaged reputation
If you're already flagged, the path back is the same as the path up, just slower:
- Stop the bleeding — pause all volume immediately
- Fix your list — verify, remove bounces and non-engagers
- Re-authenticate — SPF, DKIM, DMARC correct and verified
- Ramp from near-zero — a few natural emails a day, gradually increasing
- Generate positive signals — replies and inbox placements, tracked daily
- Give it weeks — reputation rebuilds on a timescale of weeks, not days
Why warm-up is the practical answer
You can't "try harder" your way into a good reputation. It's a volume-and-signal problem, and it's tedious to do by hand. A warm-up system runs the ramp automatically: realistic daily volume, natural replies from a controlled seed network, and live placement tracking so you know when your score is green enough to scale.
That's the whole product at SenderWarm — reputation as a managed process, not a hope.
